The documents, which contain a variety of writing styles, are formatted using a customer-specified style. Our proprietary solution improves document throughput, quality and accuracy, all while controlling the materials so NPC can be an extension of our customers’ document conversion workflow.

IT Solutions for Document Conversion“NPC is one small piece of the process, but when you talk about hundreds of thousands of pages being processed per week, that one small piece turns out to be quite large,” says Chip Gallaher, Chief Information Officer. “OCR (Optical Character Recognition) software typically is around 95-96 percent accurate, and these documents need to be 100 percent accurate. This process is very extensive, so what we’ve done is built a labor force and a software tool to do just that in the most cost-effective and efficient manner possible.”

The Challenge

NPC needed to convert large volumes of sensitive and highly technical documents from a variety of inputs into a customer standardized output. With advancements in technology, the complexity of the documents continues to increase. The degree of accuracy required by our customer is well beyond what today’s commercially available software can deliver. The quick turnaround time expectations and inconsistent volumes add to this challenge.

Obtaining the expected quality levels requires an intensive training program and infrastructure to produce highly skilled computer operators. The investment and expertise needed to develop this skill set is beyond what many organizations are willing, or able, to provide. The challenge becomes even greater due to the large number of documents that require conversion.

NPC's Solution

NPC created a workflow to ensure 100 percent traceability and security from point of origin to delivery. All standard processes are automated to minimize the amount of manual keying and improve quality within the conversion process.

An automated quality checking assurance program was developed to ensure that accuracy requirements meet, or exceed, customer expectations.

“It’s truly a combination of the taggers – people doing the work – and the software developers listening to the taggers, and improving on their process," Chip Gallaher says. “This process continues year after year to where we have a totally customized solution that fits directly into our customers’ workflow and enhances our internal workflow.”

And to ensure continuous improvement, a scalable, transferable training process was designed to reduce the amount of time required to produce fully qualified operators.

“We have implemented a continual cycle of improvement,” explains Mike Novotny, Document Processing Department Supervisor. “We always ask employees, ‘what slows you down?’ or ‘what brings you to a complete stop?’ during processing. We might not be able to do a thing about it, but chances are, we can. The faces of the team change, but that concept doesn’t change.”

Results

After successfully creating the infrastructure and developing training systems, NPC was able to create a cost-effective solution for a resource intensive document conversion process. This allows our customers to focus on their core business without needing to staff for volume fluctuations. NPC’s solution, which is the ability to process more than 350 million characters per week with 99.995 percent accuracy, has dramatically improved our customer’s ability to react to inconsistent service demands from their customers, while maintaining high quality standards.
