A desire to reduce costs, gain process efficiencies, and re-focus energies on core business functions led one federal organization to seek a comprehensive forms management solution with a single service provider. The scope of the task spanned some 500 versions of forms with on-demand distribution to 35,000 locations throughout the United States.
“When we enter into projects such as this, we truly view the client-NPC relationship as a partnership. Consistency, reliability, ingenuity, communication, and integrity are all key components. It makes for a formula that spells success for all involved. The work itself and the working relationship are both gratifying.”
-Don Ciambotti, Senior Account Representative at NPC
To achieve goals and better manage a plethora of print document needs, the establishment sought a single provider who had a full range of capabilities and expertise. The agency desired a provider who could commit to a long-term and active relationship, and in whom key stakeholders could entrust confidential, critical information.
After an in-depth review of proposals submitted by a host of industry giants, they selected NPC as the vendor for this unprecedented, multi-year contract. A system was developed that allows for prompt fulfillment of requests on a daily basis. Authorized parties electronically submit requests for forms; the requests are automatically consolidated into a single report and routed to NPC each day; NPC staff assemble documents for each of the organization's locations, pulling from inventory or printing materials on demand; and packets are shipped directly from NPC for prompt delivery. Inventory levels are maintained at pre-defined levels and re-orders are prompted when supplies require replenishment.
The organization has experienced a number of significant positive outcomes: swifter fulfillment, less waste from obsolescence, savings via the elimination of a warehouse, streamlined ordering procedures, cost savings in print production, and more.
